A medical congress booth kit doctors actually stop at
A 90-second AR anatomy moment, a mechanism-of-action scene, a quiz on your key messages and a consented follow-up. Built once for your first congress, then re-run with new content at every congress after it.
Quick answer
The Medical Congress Booth Kit is a ready-made stand experience for pharma and OTC brands. A doctor scans a QR code or picks up a tablet, sees your molecule act inside the body in augmented reality, answers a short quiz on your approved key messages and, if they choose to, leaves their contact details with explicit consent. After the congress your team sends a follow-up email built from our template, and a dashboard shows who engaged and which messages landed. The first congress is a fixed-price pilot. Every congress after that re-uses the same kit and swaps only the content. VR Express is an XR studio in Sofia, Bulgaria, working since 2015.
Who the booth kit is for
The kit is built for brand managers, product managers and medical events teams at pharmaceutical and OTC companies who stand at the same congresses every year: national GP and specialist congresses, regional symposia and the satellite meetings around them. It fits best when:
- Your stand competes with twenty others for a doctor's five free minutes between sessions, and printed leave-behinds are no longer enough.
- Your mechanism of action is hard to explain on a roll-up: it happens inside a joint, a vessel, the gut or a cell, and a 3D view says it faster than a paragraph.
- Field teams need contacts they are allowed to use, with consent recorded at the stand rather than reconstructed from a badge list afterwards.
- You go to several congresses a year and want one approved asset you can bring back with new content, instead of a new agency brief each time.
How it works at the stand
- The hook (about 90 seconds). The doctor scans a QR code or takes a tablet. An anatomical model appears on the counter in front of them in augmented reality, in the browser, with no app to install.
- The mechanism. They zoom into the affected tissue and watch your molecule act, step by step, with short captions taken from your approved claims.
- The quiz. Three to five questions on the key messages. It takes about a minute, shows the right answer each time and gives your stand team a natural reason to start a conversation.
- The consent. At the end, the doctor can ask for the follow-up material. Contact details are collected only after an explicit opt-in with your consent text, and the consent version and time are stored with each record.
- The follow-up. After the congress you receive the consented contacts and an HTML email template with the scene link, ready for your own sending system and your medical review.
- The re-run. For the next congress we swap the content (new indication, new brand, new questions or a new language) and keep everything else.
We build the mechanism scenes with the same team that produces our medical 3D animation and mechanism-of-action work, so a scene made for the stand can also become a film for your reps.
What you get: pilot, full build, run
The kit is sold the same way every time, so procurement and compliance only have to approve it once.
- Pilot: your first congress. One brand, one congress, one language. AR body visualisation, mechanism-of-action scene, quiz, consent form, follow-up email template, dashboard and a stand-team briefing. Fixed-price pilot, credited to the full build if you continue.
- Full build: the congress season. The kit licensed for your congress calendar, a take-home AR portal reps can share after each event, extra languages and additional brands on the same engine.
- Run: every congress after that. A fixed content-swap fee per re-run, hosting and care of the AR links between congresses, and optional on-site support on the congress days.
Every kit ships with an outcome dashboard: doctors who started the AR scene, doctors who finished it, quiz completion and the score per question, consented leads and visits to the take-home link after the congress. The score per question shows which of your messages doctors already know and which ones your reps still need to teach.
The booth kit vs the usual congress stand
Most stands still run on three things: a printed leave-behind, a giveaway and a tablet survey. Some brands add a one-off VR activation for a single congress. Here is how the kit compares.
- Leave-behinds explain the mechanism in text and diagrams. The kit shows it in 3D, on the counter, in under two minutes, and the same scene travels home as a link.
- Badge scans and sign-up sheets give you names but not always the consent you need to follow up. The kit records an explicit opt-in, with the wording version and time, for every contact it exports.
- Tablet surveys ask doctors to do your work. The quiz gives them something back (the right answer and the reason) and gives you a measure of message recall.
- One-off VR activations are built for one event and then archived. The kit is built to come back: same engine, same approvals, new content.

Proof: the parts of the kit we have already shipped
Each part of the kit comes from work we have delivered for pharma brands: mechanism scenes, AR for HCPs, gamified quizzes, exhibition activations and HCP email.
- Merck GlucophageXR
Pharma · 2024 · HCP digital piece
A digital piece for doctors around Merck's GlucophageXR, built to inform HCPs about medical events and brand campaigns. It sits next to the brand's browser-based AR scenes, the same delivery model the kit uses for its anatomy moment.
- Zentiva Sideral VR
Pharma · 2023 · Immersive education
An immersive educational experience for healthcare professionals that visualises the molecular benefits of Sideral. This is the kind of mechanism-of-action scene the kit places at the centre of the stand.
- AD Pharm AR Healing Mountain
Pharma · 2017 · AR on a print marker
HCPs point a phone at a printed marker and watch a 3D animation of the healing process unfold, showing the product's mode of action in space rather than on a slide.
- Meta Quizzes Prospan
Pharma · 2023 · Gamified HCP quiz
A gamified quiz in which HCPs and participants answer by throwing a virtual ball at targets, learning the product benefits in an active way, with an integrated product video.
- KRKA Virtual Production Plant Tour
Pharma · 2018 · Exhibition activation
A 360° VR tour of KRKA's production facilities for a major veterinary medicine event, letting veterinarians and partners see the plant without leaving the exhibition floor.

Congress plus field force
A congress produces two things worth keeping: doctors who agreed to hear from you, and a measure of which messages they did not know yet. The AI Doctor Simulator lets your reps rehearse the follow-up call against an AI doctor, scored on the same approved key messages. Together they use one set of approved content for the stand and the field.
Frequently asked questions about the congress booth kit
What is in the medical congress booth kit?
Five parts that work as one flow: an AR body visualisation that opens on a tablet or phone, a mechanism-of-action scene for your molecule, a short quiz on your approved key messages, an HCP lead form with explicit consent, and an HTML follow-up email template your team sends after the congress. A dashboard shows how many doctors started, finished, scored and opted in.
How is HCP consent handled at the stand?
Contact details are collected only after the doctor ticks an explicit opt-in with your consent text. Each record stores the consent wording version and a timestamp, and only consented contacts are exported to you. Usage data from the AR scene and the quiz is aggregate by default. You stay the data controller; we sign a data processing agreement and follow your privacy team's requirements.
Can we reuse the kit at the next congress?
Yes, that is the point of the kit. The engine, the lead form, the dashboard and the email template stay the same. A re-run swaps the content: a new indication, a new brand, new quiz questions or a new language. Re-runs are quoted as a fixed content-swap fee, not as a new project.
Do doctors need to install an app?
No. The AR scenes run in the mobile browser on iOS and Android, opened from a QR code or a tablet at the stand. The same link becomes a take-home experience reps can share with HCPs after the congress.
Who approves the medical content?
Your medical, regulatory and compliance reviewers. We build only from material you have approved (SmPC, key messages, references), lock the reviewed version, and change nothing on the congress floor. Quiz questions and the follow-up email go through the same review.
How long does the first congress take?
Plan for about four weeks from brief to stand, including one medical review round. The first congress is a fixed-price pilot, and its price is credited to the full build if you continue. Re-runs for later congresses are faster because only the content changes.
How does the kit connect to field-force training?
The congress gives you consented HCP contacts and a measure of which messages landed. The AI Doctor Simulator trains reps on the same key messages before they follow up. Sold together, they cover the congress and the field force with one set of approved content.
Which congress is next on your calendar?
Send us the congress, the brand and the date. We will come back with the scenes, the quiz outline and a fixed price for the pilot.
